SUMMARY:
AIP is looking for a Facilities Lead, Senior Associate to join our Finance and Administration Team.
This role is pivotal in managing problem-solving and solution implementation within the office services of the American Center for Physics (ACP) in College Park, MD, and Washington, DC. You will leverage your expertise to coordinate meetings and conferences at ACP, serving both on-site societies and external organizations. You'll ensure ACP members receive top-tier services, including mail center management, reception desk duties, office and pantry maintenance, and catering support. Exemplary customer service for all internal and external stakeholders is paramount.
Additionally, this role demands a keen understanding and support of technology systems at both office locations. You will oversee and coordinate with the landlord on building management issues, ensuring a seamless operational environment.

WHAT YOU’LL DO:
- Coordinate meetings and conferences for ACP tenants and outside groups as approved by the ACP board, including scheduling, facility setup and cleanup, and coordination of food service with an emphasis on total quality in customer service.
- Respond to requests from the ACP board as needed.
- Oversee management of pantries, including ordering and stocking of coffee, milk, and other supplies, as well as cleaning and stocking of the pantries.
- Oversee coordinating hoteling space and conference room schedules and services based upon the needs of the staff requesting support.
- Oversee mail center operations as needed.
- Work with IT groups from AIP, APS, and AAPT to understand the systems for meetings, conferences, and operations at both locations.
- Provide service calls as needed for IT support, including AV equipment.
- Coordinate with AIP Purchasing and AIP/ACP accounting regarding purchases and other financial matters.
- Oversee and coordinate with Property Management regarding building management, security, and maintenance.
- Obtain information from Societies for new employees regarding ID, access card and name plate.
- Enforce policies and procedures for operational aspects of each location.
- Work onsite as needed at each office location – which will vary depending on events.
WHAT YOU’LL BRING:
- Bachelor’s degree preferred.
- A minimum of 5 years of progressive experience in facilities management, administrative, and customer service experience for a large team required.
- Excellent verbal, written, and telephone skills.
- Ability to work well with others, both inside and outside the organization.
- Ability to multi-task, handle multiple assignments and priorities and meet deadlines.
- Experience with office software and technology tools proficiently.
- Requires a combination of organizational skills, attention to detail, and effective communication abilities.

COMPENSATION: $70,320.00 - $77,352.00
