The Acoustical Society of America (ASA) is pleased to announce an opening for a full-time Standards Assistant. ASA is the premier international scientific society in acoustics, dedicated to increasing and diffusing the knowledge of acoustics and its practical applications. The Society, located in Melville, NY, has a $5M operating budget and a staff of 12. 

Essential Job Functions
With oversight and direction from ASA’s Standards Manager, the Standards Assistant is an entry level position that provides support and direction to the internal and external Standards team of the Society. He or she will assist the Standards Manager with operational activities related to the Acoustical Society of America (ASA) Standards Office. The ideal candidate will interact with Working Group members and Chairs, Individual Experts, Standards Committee Chairs, Organizational Members of the American National Standards Institute (ANSI)-Accredited Standards Committees, and ANSI-Accredited Technical Advisory Groups to International Standards Organization (ISO) and International Electrotechnical Commission (IEC) committees, regarding activities related to consensus standards development. This includes written and Email correspondence and telephone communications. Creates spreadsheets, edits documents and processes expense reports for the standards department. Assists the Standards Manager and Standards Director with biannual ASA Standards meeting preparation. Works on projects to improve the standards processes. Must be able to lead a group, work in a team environment, and build rapport. Application packets must include cover letter, resume, and will be accepted through June 5, 2017.  

Additional Responsibilities: 

•    Administrative support for Standards Manager and Standards Director: Meeting preparation, reports, documents and letters, organize and maintain files, process mail, purchasing, expense reports and expense tracking.
•    Administration of Technical Advisory Groups (TAGs). Manage IEC and ISO ballots, announcements, and reminders. Communicate and work with volunteers and ensure all requirements and deadlines are met. Circulate documents for review and
     voting results to members. Submit final votes and comments to ANSI.
•    Keep current on all ANSI and ASA Standards processes.
•    Handle incoming phone and email inquiries. Prepare information packets for new members.
•    Update information on the ASA Standards website and office database. 
•    Cross-train and backup Standards Editor in their absence: Communication with Working Group (WG) Chairs, create and close ballots send reminders and circulate comments to members. 
•    Assist Standards Editor with editing, proofreading, revising and publishing of new and revised ASA and ISO Standards. Communicate with working group chairs and see each project through to completion.
•    Communicate obstacles and impediments discovered in standards processes and make suggestions for needed resources and improvements. 
•    Special projects as assigned.
•    Travel (approximately 5%) may be required.

Other Responsibilities
•    Perform tasks necessary to complete performance objectives.
•    Communication and stakeholder outreach.
•    Assist other team members as needed.

Qualifications (Required): 
•    Bachelor’s degree preferred and/or 1-2 years relative work experience. 
•    Highly service-oriented with the ability to follow up and see tasks through to completion.
•    Ability to communicate with volunteers in a structured, rules-based environment.
•    Ability to collaborate with persons in different time zones.  
•    Experience with editing documents desired.
•    Ability to work independently. 
•    Ability to persuade and influence stakeholders.
•    Ability to create and maintain accurate records for audit purposes.
•    Process and detail oriented. Ability to multi-task and shift priorities as needed to meet critical due dates.
•    Proficient in MS Office including Outlook, Word, and Excel.
•    Good written and verbal communication skills.
