SUMMARY: 
AIP is looking for a visionary professional to join the Institute’s Marketing and Engagement Team. The Marketing and Engagement Team is charged with delivering excellence in engaging audiences with impactful content to advance AIP’s mission. This internal-facing role is about enhancing the AIP employee experience. This entails keeping team members from across the institute apprised of activity, efforts and achievements going on around AIP, facilitating greater awareness, information flow, connectivity, and collaboration so that AIP’s most important resources—its people—are well equipped to deliver excellence to our stakeholders.  

The Internal Communications Specialist will continually have an ear to the ground, identifying and satisfying communications needs, assuring that messaging is timely, and that information is current, easily findable, and accessible though the organizational platforms. The role will build relationships with AIP home teams to proactively identify and communicate opportunities. 

Working under the direction of AIP’s Head of Marketing and Engagement, you will be responsible for crafting and implementing communications strategies, plans, and messages to drive employee engagement and report on performance. As a key member of the Marketing and Engagement Team, the role will work with all AIP units to develop and maintain an understanding of communications best practices. 

In close collaboration with the Chief of Staff, you will learn and communicate about key organizational efforts and developments in AIP’s strategic transformation and support executive leaders with communications initiatives.  

In partnership with the Chief Talent & Culture Officer, you will help to cultivate a culture of openness, transparency, and empowerment among the full AIP team. The role will also help to drive engagement and understanding of our mission, vision, values, and strategic priorities.

WHAT YOU’LL DO: 

Enhance the Employee Experience 
  • Partner with the Talent & Culture team to develop and disseminate annual employee satisfaction surveys to determine engagement levels and communicate results and help to facilitate action plans as needed. 
  • Collect and curate staff feedback related to challenges arising from staff communications and suggest action to senior leadership to address concerns. 
  • Deliver on a Cohesive Internal Communications Strategy  
  • Establish and maintain an internal communications strategy in collaboration with AIP staff leadership. 
  • Report on internal communication metrics, understand what is working, and be able to leverage key data points to adjust as needed, and understand industry trends and insights to drive excellence in your work. 
  • Ensure key organizational initiatives, programs and projects are effectively communicated to AIP employees and other adjacent stakeholders (Member Societies, committees, board, etc.). 
  • Craft messaging and develop best communication methods for sharing information coming from the Executive Management Team and across levels of AIP (e.g. intranet, blogs, newsletters, emails, videos, responses to all staff questions, etc.). 
  • Assist in the crafting of change management communications as a key member of a cross-functional digital transformation initiative. 
  • Plan, edit and write content for a variety of internal communications mediums including, but not limited to, the annual report, staff intranet, blogs, email bulletins, and newsletters. 
  • Respond to feedback and questions from staff and, when appropriate, adjust communications content accordingly. 
  • Handle internal crisis communications in coordination with the Head of Marketing and Engagement consistent with AIP’s crisis communications plan.  

Optimize Communications Platforms 
  • Provide leadership for content development and manage the home.aip.org staff intranet to inform staff about AIP’s mission, activities, and successes and become useful repository for staff resources.  
  • Bring forward creative ideas and new approaches to drive engagement through internal communication. 
  • Serve as the project manager for the development of AIP’s annual report working directly with the Head of Marketing and Engagement and the Director of the Visual Experience. 
  • Plan and lead All-Staff internal meetings working with the Chief Talent & Culture Office and Chief of Staff.  
  • Raise Organizational Awareness 
  • Ability to work cross-functionally to help us build a culture of collaboration and create experiences that engage, connect, and inspire our employees. 
  • Maintain an awareness of AIP’s programs and initiatives working effectively across the organization to communicate key launches, milestones, etc. 
  • Ensure key organizational initiatives, programs and projects are effectively communicated to AIP employees and other adjacent stakeholders (Member Societies, committees, board, etc.). 

WHAT YOU'LL BRING: 
  • Bachelor’s degree is required, preferably in communications, public relations, journalism, or marketing. 
  • A minimum of five (5) years’ experience in internal communications or related area. 
  • Exceptional interpersonal and relationship-building skills to work with marketing communications, Talent & Culture, the Executive Management Team, and across the organization. 
  • Demonstrated ability to work with and develop messages for senior executives and writing capabilities for a variety of audiences. 
  • Excellent writing, storytelling, editing and proofreading skills, and ability to source stories from employees. 
  • Strong oral communication skills to support message and presentation delivery to staff. 
  • Familiarity with digital technology applications to enable varied modalities of communications is essential. 
  • A passion for creating engaging employee experiences. 
  • Enthusiasm for the mission and vision of AIP.

The team works in a flexible, hybrid schedule and reports to our offices in College Park, Maryland and Washington, DC as needed. That one day per week is somewhat flexible, depending on the schedule for a given week. Employees are required to reside in metro DMV area (Maryland, Virginia, or Washington, DC).
