BRIEF DESCRIPTION/SUMMARY OF ROLE:

The American Institute of Physics' (AIP)  Diversity, Equity, and Belonging Office is seeking an experienced professional to take on the role of TEAM-UP Together Program Coordinator, who will support the TEAM-UP Together (TU-T) Program.
 

TEAM-UP Together is an exciting new program that aims to double the number of African American students earning bachelor’s degrees in physics and astronomy by 2030. This multi-million dollar program was recently recognized by the White House as one of several commitments in the newly formed US STEMM Opportunity Alliance “that drive transformative change across the national STEMM ecosystem by dramatically expanding access and opportunities and bolstering American’s global competitiveness.”
 

As the TU-T Program Coordinator you will work closely with the AIP TEAM-UP team and the TEAM-UP Together Lead Partners and stakeholders in building a culture of collaboration and inclusion. You will support the TEAM-UP Together program and will report to the Diversity, Equity, and Belonging Officer. You will independently handle duties such as contributing to project planning and execution; meeting and event planning (including travel and logistics); managing TEAM-UP related web content, social media, and content archives; responding to stakeholder inquiries, tracking grant funds, and assisting with writing and distributing marketing materials.
 

This is a full-time, contract position with a length of at least 3 years. AIP is based in College Park, MD and offers a flexible, hybrid work schedule. Candidates will be expected to report to the office regularly; therefore, must reside within the Washington DC metro region (MD, DC, Northern VA).

 

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  • Effectively communicate the TEAM-UP Together mission, vision, goals and strategy;
  • Assist the AIP TEAM-UP team with project planning and execution within expected timeframes;
  • Plan logistics and prepare for meetings with Lead Partners, the internal AIP planning team, and other external stakeholders;
  • Create and assemble meeting materials such as agendas and meeting summaries, and coordinate with other AIP and/or Lead Partner personnel to advance project work and meeting preparation;
  • Coordinate program activities with the Lead Member Societies and key stakeholders;
  • Correspond with TEAM-UP Together Stakeholders including academic faculty, administrators, and students as required;
  • Support implementation of the student and departmental programs;
  • Provide grant management support to include generating reports and helping write narrative summaries describing program outputs;
  • Maintain archives for all AIP TEAM-UP digital and paper content.

EDUCATION:

  • High School Diploma required
  • Bachelor’s Degree preferred

EXPERIENCE & SPECIALIZED QUALIFICATIONS:

  • Minimum of three (3) years’ experience providing program support and coordination for high visibility, strategic initiatives.
  • Prior experience with STEM-related non-profit organizations, academic departments, or diversity, equity, and inclusion advocacy preferred.
  • Highly organized and creative thinker adept at multitasking in a fast-paced environment.
  • Demonstrable ability to Communicate effectively and professionally
  • A demonstrated commitment to diversity, advancing racial equity and creating a culture of inclusion
  • Experience with handling confidential information
  • Proficient level experience with Office 365 or Microsoft Suite: PowerPoint, Excel, Word, Teams, and Outlook, Google Suite.
  • Demonstrated ability to work well with others in a collaborative environment
  • Demonstrated ability to work independently, both remotely and in an office environment, with minimal routine supervision.
ABOUT AMERICAN INSTITUTE OF PHYSICS:

The American Institute of Physics (AIP) was founded in 1931. At the urging of a report from the American Physical Society and with initial funding from the Chemical Foundation, leaders of American physics formed a corporation for the “advancement and diffusion of knowledge of the science of physics and its application to human welfare,” especially by achieving economies in the publishing of journals and the maintenance of membership lists. This new federation of societies was also formed to provide a common organizational home for the emerging new physics-associated scientific societies that were being formed at the time. At the time of its formal incorporation in 1932, AIP comprised five such societies with a total membership of 4,000 individuals.
From the outset, AIP published journals on behalf of its Member Societies, as well as publishing journals owned by the Institute. Starting around 1950, the revenue generated from publications enabled the Institute to hire staff dedicated to programs that served more broadly the Member Societies, individual physicists, and the public at large. Several programs were added in the areas of education and careers, statistics, industry outreach and history. Other programs were developed in the coming decades in the areas of science news, media, and government relations.

Since 2013, AIP Publishing—a wholly-owned but independently operated subsidiary LLC—continues to publish AIP journals and journals of five of AIP Member Societies. In addition, in 2019 AIP Foundation was added to the AIP family of organizations. Since AIP is the parent organization, and noting that each of AIP Publishing and AIP Foundation have their own Boards, the financials of all three organizations are consolidated into AIP’s financial reports annually.

Through their partnership in AIP, all 10 Member Societies broaden their impact and achieve results beyond their individual missions and mandates. AIP also acts as an independent institute where research in social science, policy, and history advances the discipline of the physical sciences. Together, AIP and its 10 Member Societies convey a unifying message for stakeholders in government, academia, the nonprofit and private sectors, the student and teacher communities, and the general public.
