The American Institute of Physics is seeking a full-time Assistant Facility Manager to provide administrative support for Office Services and assist Facilities Manager with building management functions including; Micro market, pantry management and coordination of food and beverage service for meeting and catering functions.

Essential Functions:
Responsibilities include coordinating the schedule of ACP meeting rooms for meetings, contact and meet with society meeting planners to obtain specific requirements for meetings. Facilitate set up of ACP meeting rooms and ensure that catering, beverage service and other meeting requirements are available at the requested time. Prepare and distribute weekly meeting schedule to Office Services, Information Services and property management staff. Prepare the ACP Board calendar and assist with procurement, invoices, contracts and annual budget process. Serve as primary contact with employees and the University of Maryland regarding ACP's Affiliate status for UMD ID cards. Assist with coordination of daily activities of Office Services staff. Obtain information needed from departments for new employees regarding ID, access card and name plate. Monitor and order supplies for copiers. Submit required monthly copier counts to vendor. Assist as needed with other Office Services duties to include: answering calls at reception desk, maintaining parking and ID databases, management of micro market, cleaning pantries and ordering and stocking of pantry supplies. Assist with setup and cleanup of food/beverage service for meetings. Place service calls for ACP owned equipment in the cafeteria and prep room, folding machine and shredder. Assist in mail center and drive ACP van when needed and other duties as assigned.

High School diploma or equivalent is desired with a minimum of five years of administrative and customer service experience of in an office environment. Must have excellent verbal, written, and telephone skills.  The ideal candidate will have the ability to deal pleasantly and effectively with staff, visitors and vendors and the proven ability to work independently and within a team.   Experience with computer applications, including Microsoft Word and Excel is required. The position requires extensive sitting and the ability to lift 40 pounds. Capability for extensive walking and standing. Must have and maintain valid drivers license as well as excellent driving record.
