BRIEF DESCRIPTION/SUMMARY OF ROLE:

The Payroll Supervisor is primarily responsible for the day-to-day operations of the payroll and the overall payroll process. You will provide payroll support for the American Institute of Physics (AIP) and select Member Societies in their mission to advance the physical sciences. In this role, you will process payroll for the Institute and four other organizations and serve as point of contact for payroll related issues. You will also be responsible for maintaining ADP/WFN and Kronos software.
 

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  • Process bi-weekly payroll for AIP and four other organizations, staffing of 400+
  • Prepare bi-weekly journal entries for payroll, including journal entries for societies.
  • Prepare monthly salary analysis compared to budget. Research and resolve variance for actual to budgeted salaries.
  • Review all tax filings processed by ADP.
  • Prepare all account reconciliations related to payroll.
  • Prepare the annual personnel budget - using excel spreadsheet. Work with the Controller to determine correct staffing needs.
  • Prepare the 5500 return and all of the detailed schedules and analysis required for the annual retirement plan audit.
  • Reviews leave accrual balances and labor allocations for validity and accuracy.
  • Keep abreast of all legislation and regulatory rulings impacting payroll.
  • Prepare and processes bi-weekly submissions for retirement contributions.
  • Develop and maintain custom reports in ADP/WFN.
  • Review payroll process and internal controls and make recommendations on process improvements
     

ADDITIONAL RESPONSIBILITIES

  • Process all year-end activity and verifies accuracy of W-2’s prepared by ADP
     

EDUCATION

  • Associate’s Degree with a focus in Accounting or related coursework
  • A Professional Certificate in Payroll or a Bachelor’s Degree in Accounting is preferred
     

EXPERIENCE

  • 5+ years payroll experience with mid to large organization
     

SPECIALIZED QUALIFICATIONS (if applicable)

  • ADP Enterprise E-Time system and Kronos timekeeping systems
  • experience in Excel
  • verbal and written communication skills
  • ability to collaborate with others on all levels including upper management
  • ability to meet time schedules and deadlines
